Alternative Software RFP-ITQ Update

Phase II of the alternative fiscal software project was completed by MCOECN November 4 – 6 in Columbus.  In order of presentation, Sungard’s eFinance PLUS, Weidenhammer’s Alio and Microsoft’s Dynamics were demonstrated to the committee and remotely to the 15 participating ITCs across the state.  Tyler’s Munis system did not meet the requirements of the committee and was eliminated from the process in phase I.

The next step will be to take a closer look at each product’s payroll process and then begin negotiation of cost.  A  January goal has been set for final contract negotiations to be completed.

 

Affordable Care Act Tracking Update

The NEOnet fiscal team has been busy helping consortium members with their ACA tracking/ reporting questions.  As of today, consortium members have selected 5 different ACA tracking software programs that we are aware of. They are;

ACA Track – 1 member
Dawson Group – SHC – 2 members
Eligibility Tracking Calculators – 1 member
Next Generation – 2 members
Worxtime – 14 members

NEOnet itself does not have enough employees (50 or more) to be required to report for ACA and also cannot access your third party software but, is able to help with USPS extract questions.  The fiscal team has a current goal of establishing one extract program in Reflections that will be able to be used for all ACA third party vendor extracts. 

 

VENSCN / Tax Identification Numbers

In order to comply with IRS regulations, all consortium members will now have to match their vendor Tax Identification Numbers (TIN's) with the IRS database before 1099s can be issued.  To make this possible, SSDT is adding a new field to VENSCN and VENLOAD in USAS.

To process TIN’s with the IRS, district personnel must first register to use e-services and select a username, password and PIN. Then they can register to use TIN Matching from the suite of e-service products available.  The TIN Matching system is accessible 24 hours a day, seven days a week. Support services include on-line tutorials to assist customers with the registration, application and TIN Matching process. You do not need to be a registered user to access and view these tutorials. State Software Redesign

5 Yr Forecast Submission Period

All consortium member 5 Year Forecasts were successfully submitted before the October 31st deadline.  Follow this link to the ODE website to look up your forecast.  http://fyf.oecn.k12.oh.us/

 

SERS Technology Change

SERS is making a change to provide enhanced security for employers and ITCs that exchange electronic files with SERS using the Secure File Transfer Protocol (STFP) server. This change does not affect employers that report contributions using eSERS.

This change involves replacing the existing SFTP server at SERS with a new one. Every server at SERS has a unique identifier, called its security fingerprint. When users connect to the new server, they will be asked to verify the new server's fingerprint prior to entering their user name and password.

On the weekend of Oct. 30, 2015, SERS will deploy the new SFTP server. Following this deployment, the next time you as an employer or ITC log into sftp.ohsers.org, a message will display on your monitor asking you to verify that the displayed fingerprint matches the following fingerprint:  33:b2:d0:57:37:ff:1f:68:d9:76:4f:fb:f2:f0:1e:31

If the fingerprint on your monitor matches the fingerprint above, please click the button displayed on your monitor to verify that the fingerprints match.  If the fingerprints do not match, please contact Employer Services toll-free at 877-213-0861.
